Flight Operations Coordinator/Dispatcher
We are on the lookout for a dynamic Flight Operations Coordinator to join our expanding Systems Operations Control team. As we continue to grow our fleet, we need skilled and detail-oriented professionals to support our flight crews and our dedicated team. The perfect candidate will have experience in flight operations, a background in part 135 aviation, and an FAA dispatcher license (preferred but not required). If you are detail-oriented, customer service focused, and capable of managing multiple projects at once, this role is for you.
In this position, you will assist with trip planning, international paperwork, crew scheduling, crew logistics, and ensuring trips comply with part 135 regulations. You will report to the Director of the SOC and work closely with the Director of Operations, Chief Pilot, and Director of Maintenance on operational priorities. Daily interactions with the flight crew will be part of your routine, providing them with logistical and planning support. This role requires coverage during nights and weekends. Candidates must be based in the Nashville area, and this is not a remote position.
Responsibilities:
- Assist with operational control under the guidance of the Director of Operations.
- Perform flight locating procedures in accordance with our General Operations Manual (GOM).
- Audit pilot's trip paperwork daily.
- Monitor flight operations for weather, NOTAMs, and any delays.
- Handle monthly and quarterly international trip reporting.
- Retain flight records as per 14 CFR 135.63(c-d).
- Support the Pilot-in-Command (PIC) in releasing and operating flights in compliance with regulations.
- Make decisions during operational irregularities, in collaboration with Flight, Maintenance, and Passenger Service personnel.
- Review factors affecting each flight and determine safe operation parameters with the PIC.
- Update trip sheets as changes occur.
- Utilize approved weather sources for weather information.
- Monitor maintenance and mechanical delays.
- Perform passenger and crew vetting.
- Obtain landing permits and international flight clearances.
- Track landing fees and ensure billing accuracy.
- Stay updated on technological developments to improve operational efficiency.
- Coordinate and approve new methods and technology implementation.
- Maintain Master Pilot Lists.
- Coordinate crewmember training and schedules.
- Assign crew members for all flights, including PIC, SIC, and cabin attendants.
- Ensure crewmember qualifications before assignments.
- Coordinate crew travel arrangements.
- Reroute/reschedule crewmembers due to irregular operations, mechanical issues, weather, sick calls, or crew legalities.
- Prepare reports on crewmember sick calls and irregularities.
- Manage and utilize crews during assigned shifts.
- Ensure compliance with rest, duty, and flight time limitations.
- Apply scheduling rules within FAA regulations.
- Brief crewmembers on trip assignments.
- Maintain aircraft and pilot schedules.
- Monitor future flight operations, ensuring all necessary permits and approvals are in place.
- Perform all other duties as assigned by the Director of the SOC.
Physical Requirements:
- Sedentary work involving sitting for extended periods.
- Occasional lifting up to 10 pounds and repetitive motion of wrists, hands, and fingers.
- Ability to comprehend instructions, interpret documents, and apply abstract principles to complex tasks.
- Proficiency in basic arithmetic and the ability to compute rates and percentages.
- Effective communication skills, both verbal and written.
- Regular and dependable attendance and punctuality.
