Job Summary - Serves as Accounts Payable Associate working within the accounting department. Responsible for accounting job functions in Accounts Payable which entails developing a good relationship with vendors and ensure accounts are up to date. The ability to communicate effectively and remain detailed-oriented in a fast-paced. Works under direct supervision.

Essential Duties and Responsibilities

• Review purchase requisitions and issue purchase orders.
• Receives and reviews invoices, verifying that they comply with organizational policies and are approved for payment.
• Reconciles amounts owed by comparing invoices to POs or other records.
• Enters invoice amounts into the accounting system ensuring accurate coding and processes check runs, wire transfers, or other forms of payment.
• Responds to inquiries from vendors and researches and resolves concerns or discrepancies.
• Charge expenses to accounts by utilizing invoice and expense reports.
• Maintains documented records of all expenses.
• Maintain vendor files and monitor accounts to ensure payments are update.
• 1099 tracking and annual reporting.
• Provides documentation support for audits.
• New vendor setup (including coordination of contracts, non-disclosure agreements, insurance requirements and credit applications).
• Must have experience with state and local sales tax laws.
• Troubleshooting of invoices related to coding, approvals, and quick payment requests.
• Other duties as assigned.

Experience and Education

• Bachelor's degree or 5+ years related experience
• Experience in managing clerical accounting duties both effectively and efficiently
